NOAN is a fact-based platform, which means your business knowledge is organized into “facts” (think: Smart Blocks) that power everything from AI assistance to team collaboration. But what if you want to control who sees or edits which facts? That’s where Fact Permissions come in.
Here’s how to master Fact Permissions in NOAN and keep your business knowledge secure, organized, and collaborative.
1. Understand Fact Permissions and Roles
NOAN offers several permission levels for team members:
- Owner & Executive: Full access to all facts—no restrictions.
- Marketing, Sales, Creator, Advisor: Customizable access. You decide which facts each group can see or edit.
Each role comes with its own capabilities:
- Marketing: Can view and edit assigned facts.
- Sales: Can view, but not edit, assigned facts.
- Creator & Advisor: Customizable—set what they can access and whether they can edit.
2. Assign Facts to Roles
- Go to your Fact Permissions settings.
- For each role (e.g., Marketing), select which facts they should access. For example, you might enable “Founder,” “Customer,” and “Brand” facts for your marketing team.
- Save your changes. Now, anyone with the Marketing role will see only those facts.
Repeat this process for Sales, Creator, and Advisor roles. Each can have a unique set of facts.
3. Review Role Capabilities
- Click the “Roles and Permissions” tab to see what each role can do.
- For example, Marketing can edit their assigned facts, while Sales can only view them.
- Make sure you assign the right role to each team member based on what you want them to do.
4. Set Team Member Permissions
- Go to the Team tab.
- Find the user you want to update.
- Change their permission level to the appropriate role (Marketing, Sales, Creator, Advisor, etc.).
- They’ll now have access to the facts and features you’ve set for that role.
5. Know What Each Role Can Access
Each permission level also controls access to different parts of NOAN, such as:
- Notes
- Network
- Create
- Activity
This ensures team members only see and interact with the areas relevant to their role.
6. Tips for Effective Fact Management
- Be strategic: Only give access to what’s necessary for each role.
- Review regularly: As your team or business evolves, update permissions to match.
- Use roles creatively: For example, give Advisors access to only the facts they need for due diligence, or let Creators see just the brand guidelines.
